Quality and documentation

The paperwork is part of the part.

A part without a clean trace is a liability, not a bargain. Here is how we handle documentation, inspection and packaging before anything leaves our hands.

Release documents we work with

Different authorities and different scopes of work call for different paperwork. Here is what each document actually certifies.

FAA Form 8130-3

Issuing authority
Federal Aviation Administration (FAA), United States
What it certifies
Certifies that the part conforms to its approved design data and is in a condition for safe operation. It is issued by a certificated repair station or an approved manufacturer, not by a distributor.
When it is issued
Issued at the time of manufacture, overhaul, repair or inspection, depending on which work was actually performed.

EASA Form 1

Issuing authority
European Union Aviation Safety Agency (EASA), European Union
What it certifies
Certifies conformity with approved design data and condition for safe operation under EASA oversight, serving in Europe the same function the 8130-3 serves in the United States.
When it is issued
Issued by an approved production or maintenance organization at manufacture, overhaul, repair or inspection.

TCCA Form One

Issuing authority
Transport Canada Civil Aviation (TCCA), Canada
What it certifies
Certifies conformity and airworthiness for release under Canadian civil aviation regulations, equivalent in function to the FAA and EASA release forms.
When it is issued
Issued by an approved Canadian maintenance or manufacturing organization at the relevant work event.

Issuing authority
Agência Nacional de Aviação Civil (ANAC), Brazil
What it certifies
Certifies approval for return to service of a part or component under Brazilian civil aviation regulation, used when maintenance work is performed by an ANAC certificated organization.
When it is issued
Issued by the certificated Brazilian maintenance organization upon completion of the applicable maintenance event.

Certificate of Conformance (CofC)

Issuing authority
Issued by the manufacturer or distributor of record
What it certifies
States that the part was produced or supplied in accordance with the applicable specification, without the formal airworthiness release carried by an authority form.
When it is issued
Issued at the point of sale or shipment by the manufacturer or distributor.

Teardown Report

Issuing authority
Issued by the repair station that disassembled the unit
What it certifies
Documents the findings from disassembling a unit, including part condition, measurements and any discrepancies found, supporting the decision on repair, overhaul or scrap.
When it is issued
Issued after a unit is opened and inspected, before repair or overhaul work begins.

Trace to Source (Traceability Statement)

Issuing authority
Issued by the seller of record in the chain of custody
What it certifies
Documents the chain of custody of a part back to its original source, such as an operator, OEM or certificated repair station, supporting confidence in its history even when a full airworthiness release is not attached.
When it is issued
Issued at the time of sale, alongside the other paperwork accompanying the part.

Trace to source

Trace to source is the documented chain of custody linking a part back to where it came from, whether that is the original manufacturer, an operator or a certificated repair station. It matters because a part with a broken trace cannot be verified, no matter how good it looks. We confirm the trace before we quote a price, and we tell you what that trace actually shows.

Receiving inspection

Before a part is packed for shipment, we check it against four basic points: physical condition, part number and serial number match against the documentation, validity of the paperwork itself, and any visible evidence of damage or improper storage. A part that fails any of these does not ship until the discrepancy is resolved.

Shelf life items

Sealants, adhesives, rubber components and batteries all carry a manufacturer shelf life, and time in storage counts against it. We track cure dates and expiration dates on these items and state remaining shelf life on the quote, so you know exactly how much usable time you are buying.

Packaging

Parts are packaged to ATA Specification 300 where the part calls for it, avionics units ship with proper ESD protection, and pressurized components go out in a container built for the pressure they hold. The right box matters as much as the right part.

Dangerous goods

Some items ship under IATA Dangerous Goods Regulations because of what they contain, not because of what they do on the aircraft. Lithium batteries, fire extinguishers, chemical oxygen generators and pressurized cylinders are common examples. These items require a dangerous goods declaration and packaging specific to the hazard class before they can move by air.

What we do, and what we do not

Alcance Aero is a distributor. We source, inspect, document and ship parts, but we do not perform maintenance, repair or overhaul. Return to service approval always comes from the certificated repair station or manufacturer that issues the release document, never from us.
